For the Albany & Buffalo Shows--Please, please invite your clients (travel agents, meeting planners, etc.) from these areas to join us at the shows -- A larger turnout is good for all of us.  Please direct them to go to our special web site for attendees: www.Travel-Shows.com  to get more information and to register.  Invitations often get lost in an office; so the more times, and ways, we all can remind them that we want them to join us helps to get a better turn out.  If you are making sales calls on clients in the area prior to the shows please invite them.  Last minute additions don't need to RSVP for those two shows.  As the Rochester show is in conjunction with the Rochester Travel Professionals' annual program we (and you) don't get involved with the invitations for the Rochester show.

Brochure Shipping:
Most exhibitors will bring their collateral material with them. If you wish to ship brochures, etc. your material should arrive no earlier than 3 days prior to the event and mark: "Hold for 'Your Name'; Arrival on Date 05/DD/12 'Travel Trade Show' ".  In those instances where the show venue is different from your hotel sleeping accommodations it is strongly suggested that you ship material to your hotel.  Storage costs may be charged by the hotel/venue.  Any charges are the responsibility of the exhibitor.  We cannot take responsibility for lost shipments.  Exhibitors are responsible to assure shipment arrives in time and at the correct location.

Sleeping Room Reservations:
We have arranged special discounted rates for our exhibitors.  Rooms are held under "Travel Trade Shows" and are subject to availability and cutoff dates.  It is each exhibitor's responsibility to secure their own reservations.  Rates shown are the "base rate" and do not include taxes, resort charges, parking, etc.  *At this time our room block is pending--it sometimes takes a day or two for the hotel to get our block into their system.
